Bananas At Large - Lessons Program Update

Beginning in June of 2025 (next month), we will transition to a new lessons scheduling and billing platform. Accounts are being set up in the new system now and welcome emails should be going out before May 15th.
Lessons June 2, 2025 and forward will be reflected in the new system. Lessons June 1st and before will be in the old system.
While many of our policies will stay the same, there will be some changes that you need to be aware of. Please read through the following info & reach out with any questions you may have to lessons@bananas.com.
HOW WILL I ACCESS THE NEW ACCOUNT?
Soon, you will receive a Welcome email from the new platform. When you do, please know that an account has already been created for you or your child. You do not need to create a new one. When you click the link to log in, choose "Log in with my email" and that will prompt you to create a password for your existing account. We highly recommend you save this password so that you have future access at any time, but if you ever need a reset, you can request one. Then you will be prompted to log in with your email and new password.
You will easily be able to see upcoming lessons, old & upcoming invoices, and all information related to your lessons account. All scheduling will be set up before the end of the month and a confirmation should go out via email when it is set up. All current weekly schedules will be adhered to unless other arrangements have already been set up.
If you are a parent or caregiver, inside the platform you are designated as an "Account Manager". You will have your own login and can easily see any of your child's schedule, billing history, and upcoming lessons schedule as well as cancel ahead.
When you log in, please double-check the contact information and fill in any missing information, including phone numbers or address if missing. You will also need to add your payment information securely. We had the option to transfer over the billing info from the old system but chose not to do that so your information stays secure. All old information will be deleted out of the old system.

BILLING CHANGES
Our current system has been set up for weekly billing (1 at a time) for lessons. The new system will be set up on a monthly basis so that lessons for the month are prepaid. Here is how it will work: the new system will set up an invoice for the month according to how many lessons you are expected to take. If there are 4 lessons days, you will be invoiced & auto-billed for 4 lessons. If there are 5 lesson days in the month, you will be billed for 5 lessons.
Example: you take 30-min lessons every Wed with your teacher. In June, there are 4 Wednesdays, so you will be invoiced & billed for 4 lessons up front at the beginning of the month.
If you know there is a date that you or your child cannot make a lesson in June, please let the Administrator know as soon as possible so the first invoice is correct.
What happens if I need to cancel a lesson?
If you know ahead of the invoice being billed that you will need to cancel a particular date and you let Shaana know, it can be cancelled and the invoice will reflect only the lessons scheduled and prepaid.
If you cancel after the invoice has already been billed and paid, that credit will automatically roll over to the following month's invoice, crediting for the one lesson. So you will only be billed for the total # of lesson minus one.
Our cancellation policy still remains at requiring 48hrs or more notice to cancel a lesson without charge unless the teacher or staff excuses it. However, you will receive a reminder 72 hours before each lesson, giving you ample time to reach out if needed.
When will I be billed the first time for the new system?
The first invoice should process on June 2nd for the month of June. If you have any dates in June (or later) that you know you will be unavailable, please let Shaana know. After that, the invoice for the next month will process on the 2nd of the month.

UPDATES TO THE SYSTEM
Multiple Account Managers
If you and another parent would both like access to your child's account, we can easily set that up for you. You can also set up multiple payment methods to split payment between different cards. Please inquire with Shaana on setting that up.
Reminders
In the past, we were limited to only 48 hour reminders, but now the new system will send out reminder 72 hours (3 days) ahead of the lesson. This will give you more time to see those reminder emails and send any cancellation notice if needed.
Cancellations
If you need to cancel a lesson, you can easily do so from your account or by reaching out to the Lesson Administrator. Simply view the listed upcoming schedule dates and click "Cancel" on that appointment. Remember, if cancelling under 48hrs notice, no credit will be provided. If cancelling outside of 48hrs, a credit will roll over to the next month's invoice.
Scheduling a Single Lesson
If you are a student who schedules their lessons one at a time and is not on a weekly schedule, you will be able to schedule a lesson easily from inside your portal. If you'd like more than one set up ahead of time, please contact Shaana.
